Changing bureau without losing track of your accounts

Many practices stay with a billing bureau they are unhappy with because moving feels risky: open claims, outstanding debtors and patient queries all have to carry on while the change happens. We plan the switch with you so your billing keeps running and you know what happens at each step.

How switching to Forte works

  1. Billing review. We start with a conversation and a look at your current billing: how claims are submitted, what is outstanding, and what your practice needs from a bureau.
  2. Agreement and notice. If you decide to move, we agree the fee for your practice and a start date. You give notice to your current bureau according to your contract with them.
  3. Data handover. With your authorisation, we arrange the handover of your patient and debtor data and open claims from your current bureau or system, so outstanding accounts carry over.
  4. System setup. We work in your existing practice management and billing system, or set your practice up on another major system if you prefer: practice details, practice numbers, tariffs, codes and your billing preferences.
  5. Parallel run. For a period agreed with you, we work alongside your current arrangement so that new claims are submitted by us while older claims are finished off, with clear responsibility for each claim.
  6. Day-to-day billing. From the start date, your dedicated account administrator handles claims, follow-up, debtors and patient queries, and you receive monthly reports.

The aim throughout is no disruption to your patients or your cash flow. How long each step takes depends on your current bureau, your contract and the state of your data, so we agree the timeline with you at the start rather than promise one up front.

Switching: frequently asked questions

No. Speak to us first. We can review your billing and agree a start date before you give notice, so you can time the move around your current contract.

These are part of the handover. During the parallel run, open claims are finished off and tracked so they can be followed through to payment or resolution.

Patients may receive statements from a different contact, but their accounts carry on. We can provide wording for your rooms to explain the change if you wish.

No. We work with all major practice management and billing systems, so in most cases you keep the system you have.

Fees are quoted per practice, as a percentage of what is actually collected, with no hidden costs and no annual increases. Any costs specific to your handover are discussed with you before you decide.
